Welcome! This page walks you through ALLI Recon step by step, using the exact names you see on screen. If this is your first time here, start at the top and work down: connect your books, connect your channels, then review and post with confidence. The Getting started checklist inside your workspace follows the same order.

Getting around ALLI Recon

Everything in ALLI Recon lives inside a workspace. One workspace is one set of books, so an accounting firm keeps one workspace per client, and a seller usually needs just one. The top bar takes you to Workspaces, the Audit log (every change, recorded), and Team.

  1. Open Workspaces and pick a workspace, or create one with New workspace.
  2. Inside a workspace, move through the navigation: Overview, Reconcile (with Recognition, Marketplace payouts, Courier COD, Website payouts, Ad spend, and Orders), Reports (with Summary, By product, By category, and Usage), Export, and Setup (with Connections, Chart of accounts, Products, Workspace settings, and Access).
  3. Follow the Getting started checklist on the workspace overview. It tracks each setup step and links you straight to it.

Good to know

Connections, products, and workspace settings all live under the Setup menu. If you are looking for a setting, start there. Account mapping sits on the Chart of accounts screen, because it is a task you perform on the chart rather than a place of its own.

Your own business details live under Organization in the top bar: your registered name, TIN, address, and where your invoices are sent. The organization name at the top right is a shortcut to the same screen.

Connect Xero

Xero is where your journals end up. Connect it once per workspace and ALLI Recon can post your reviewed payouts straight to your books. No re-typing, no copy-paste, no late-night encoding.

  1. Open your workspace, then open Setup and choose Connections.
  2. In the Xero section, click Connect to Xero and approve access in Xero.
  3. You return to ALLI Recon automatically. The card shows Connected and pulls in your chart of accounts.
  4. Added an account in Xero later? Click Refresh from Xero to make it mappable.

Good to know

The connected card shows your Xero tenant ID (a long code) rather than your company name. That is normal; it is how Xero identifies your organization.

Map your chart of accounts

The mapping is your safety net. It tells ALLI Recon exactly which Xero account each kind of line posts to, and nothing can post until the required accounts are mapped. Five minutes here saves hours of cleanup later.

  1. Open Setup, then Chart of accounts, and click Account mapping.
  2. Map the three Special accounts first: Bank / clearing for the net deposit, Suspense for unclassified lines, and Reconciliation variance for the rounding plug. These are required for every payout.
  3. Map the optional groups you use: COD Clearing for COD, Product COGS, Inbound freight COGS, and Inventory for COGS, and COD Receivable and COD Remittance Loss for shortfalls.
  4. Click Save mapping. The banner reads Ready to post when everything needed is mapped.

Good to know

Unmapped groups replace their Post buttons with a Map account link, so a missing mapping can never post money to a guessed account.

Inventory must map to a Current Asset account in Xero.

Connect Lazada

Connect your Lazada seller account and your settlement payouts flow in on their own, every day. There is a backfill too: pull in months of past payouts so your books start complete, with no gaps.

  1. In Setup, choose Connections, find the Lazada section, and click Connect to Lazada.
  2. Log in and approve access on Lazada. You return to ALLI Recon automatically.
  3. To pull history, use Import payout history: pick a Start date and End date (up to 12 months per range) and click Import payouts.
  4. Need the latest settlements right now? Click Sync now. Results appear under Recent imports.

Good to know

New payouts land in Marketplace payouts as they import, ready for review. ALLI Recon connects Lazada and TikTok Shop today, and reconciles courier COD and website payouts from files you upload. Shopee is not connected yet.

Review and post a payout

Every payout is checked line by line against the cash that actually landed. ALLI Recon proposes the journal and shows you the variance, but you stay in control: nothing posts to Xero without a human clicking approve, unless you switch on scheduled posting for that workspace. Scheduled posting is off by default, covers marketplace payouts only, and skips anything with a reconciliation error, an unresolved variance, or an unmapped account.

  1. Open Marketplace payouts (under Reconcile) and click a payout with the Pending review status.
  2. Check the verdict band at the top: Net deposit, Calculated from lines, and Variance. It reads Balanced when the numbers tie.
  3. Review the Payout breakdown lines and the proposed journal below them. The journal heading names your connected ledger: Proposed Xero journal on a Xero workspace, Proposed QuickBooks journal on a QuickBooks workspace, and Proposed journal on a Sheets workspace.
  4. Click Approve & post and confirm. The panel shows Posted to Xero with the journal ID when done.

Good to know

A payout marked Reconciliation error cannot be approved. The lines do not tie to the deposit within tolerance, so resolve the difference first. A Posting failed payout shows the reason and a Retry button.

To correct a journal that already posted: void it in Xero first, then click Re-open settlement journal, tick the attestation, and approve again. A new journal is posted; the old one stays voided in Xero. ALLI Recon never voids anything for you. A posted COGS journal has its own Re-open COGS journal button and is not affected by re-opening the settlement.

A Carryover review payout carries a balance from a previous cycle, so it needs manual verification against the bank statement. Click Release for review and confirm the net you verified.

Reconcile courier COD

COD is where money goes missing quietly. Upload the courier's own remittance report and ALLI Recon reads it with a mapping you confirm once per courier, checks whatever the file lets it check row by row, says plainly what it could not check, totals what should reach your bank, and compares that against the deposit you actually received. Any variance is surfaced right away. When the tie is clean, one click posts the journals to Xero: revenue per delivery date, then the remittance with every courier fee named.

  1. Add your courier once: open Setup, choose Connections, then use Add courier under Couriers.
  2. In Courier COD (under Reconcile), use Upload courier report and pick the courier's remittance export (.xlsx or .csv). The first file from a courier opens its mapping: every column with real samples, what ALLI Recon proposes to read it as, which rows count as collected parcels, and what the file cannot say. Correct it, Check this file, then Use this mapping. J&T Express reads with a built in mapping.
  3. Review the preview of parcels and totals. It says which mapping read the file and whether the fees were proved from the file's own rate and VAT columns or taken on the courier's word. Then click Confirm & ingest.
  4. Open the report and read the tie: gross COD collected, each fee the courier deducted, and the Derived net that should have reached your bank.
  5. Use Record deposit and enter the amount exactly as it appears on your bank statement. A clean tie says so plainly; any variance is shown with its direction and amount.
  6. When the tie is clean, click the post button, which names your connected ledger: Post to Xero on a Xero workspace and Post to QuickBooks on a QuickBooks workspace. ALLI Recon posts one delivery journal per delivery date and then the remittance journal against your deposit. A report whose deposit does not match its derived net can still post, but first you decide how to treat the difference (a receivable the courier owes back, a write-off, or a bank charge). The treatment you choose is named on the journal.

Good to know

The deposit is always yours to enter; ALLI Recon never fills it in from the file. That independence is what makes the reconciliation honest.

The same cash can never be counted twice: every parcel's waybill is checked against reports already saved, and a duplicate upload is refused with the colliding waybills named.

A mapping only checks what the file supports. A report whose fees ALLI Recon could check against the file's own rate and VAT columns is marked as proved from the file; one whose fees it had to take as written is marked as on the courier's word, at every step where you approve something.

If a report was read with the wrong mapping, open it and use Remove report while nothing from it has posted. Its parcels are freed and the file can be uploaded again under the corrected mapping; the removal stays in the audit trail with your reason.

Orders

Keeps what each order contained. A connected Lazada store pulls its orders in automatically each day, and you can upload your own order export as well. This is what makes COGS possible: marketplace statements carry no quantities and courier reports carry no SKUs, so your order lines supply both. It never changes your revenue, and it doubles as a per-order check against what your settlements and courier reports say each order was worth.

  1. Open Reconcile and choose Orders.
  2. With a connected Lazada store, recent orders arrive on their own. Click Sync now to fetch the latest without waiting for the daily sync.
  3. To upload instead, click Download template and fill one row per product line: Order Number, SKU, Quantity, Line Amount. Then choose the file and click Import CSV.
  4. For a single order, use Add one order, enter its lines, and click Save order.
  5. Review Needs a look below the upload: it lists orders whose amounts do not agree with the settlement, orders with no settlement yet, and orders settled on both channels.

Good to know

Re-uploading an order replaces its earlier lines, and the automatic pull replaces an order's lines the same way when Lazada's copy changes. Every replacement is recorded in the audit log. An order whose COGS has already posted is never changed by an upload or by the automatic pull; re-open that COGS journal first, then upload again.

The list of differences is informational. Nothing here blocks posting, and ALLI Recon never adjusts either side to force a match.

Products and COGS

Add what each SKU costs you, and ALLI Recon computes your cost of goods sold per payout. Product cost plus inbound freight makes the landed cost, and that is what posts. Real margins, not guesswork.

  1. Open Setup and choose Products.
  2. Use Add a cost for one SKU, or Import from CSV with the Download template file for many at once.
  3. Click a SKU to see its full cost history and update its cost, or set its Category on the row for the By Category report.
  4. On a payout, the Cost of goods sold panel shows the computed COGS. Click Post COGS to record it in Xero.
  5. On a courier report, COGS posts separately from the sales journals: open the report and click Post COGS in its Cost of goods sold section. One journal per report, dated the last delivery date.

Good to know

Costs take effect today; there is no date field. Changing a SKU adds a new dated cost and keeps the history, and the SKU's page shows every dated cost with the current one marked.

A SKU with no cost on file is excluded from COGS and listed in the panel. It is never counted as zero, so your COGS is never silently understated. The Products list shows those SKUs first, so you can add the missing cost from one place.

Courier COGS needs your order lines, since courier reports carry no SKUs. An order shown as waiting for order data is fixed on the Orders screen; a SKU with no cost on file is fixed here with a new cost; an order costed on the marketplace-payout channel needs nothing, its cost already posted with the payout.

COGS posts on its own, independent of the payout itself.

Website payouts

Selling on your own site through Stripe or PayMongo? Upload the settlement file and those payouts go through the same careful review and posting flow as everything else. One process for all your channels.

  1. Open Website payouts (under Reconcile) and click Connect source, giving the source a label you will recognize.
  2. In Upload a website payout, enter the date, reference, and Net deposit (₱), attach the settlement CSV, and click Upload & reconcile.
  3. Click Review payout and continue exactly like any other payout.

Good to know

The CSV holds four columns: Order ID, Gross, Fee, Refund. The net deposit you type in the form is the figure the file is reconciled against, so take it from your processor or bank statement.

Billing

Your plan, trial, and invoices live under Settings. Invoices are issued to you at the end of each period; you can download each one as a PDF for your records and settle an issued invoice online with Pay now, which opens a secure checkout run by our payment provider.

  1. Open Billing from the trial banner or your settings to see your plan status and invoices, with Download PDF beside each issued invoice.
  2. Press Pay now on an issued invoice, then Open the payment page to pay by QR Ph, GCash, Maya, GrabPay or ShopeePay. The page confirms by itself once your payment lands, and a confirmation email follows. Owners and managers can pay.
  3. Keep your Billing details (registered name, TIN, address, VAT status) current under your organization settings, so your invoices carry the right information.

Good to know

  • A payment that does not go through changes nothing: you are only charged when the provider confirms, and the invoice simply stays payable.
  • Sign-in security

    You can ask ALLI Recon for a second step at sign in: your password, and then a number from an authenticator app on your phone. It means a stolen password on its own is not enough to reach your books.

    1. Open Account in the bar at the top, find Sign-in security, then choose Show me the code.
    2. Scan the square code with an authenticator app on your phone. Any app works, including Google Authenticator, 1Password and Authy. If you cannot scan it, type the line of letters underneath into the app instead.
    3. Type the number your app shows and choose Turn on the second factor. From then on, signing in asks for that number after your password.

    Good to know

  • You can tick the box at sign in to skip the number on that browser for thirty days. You still type your password every time. To undo it everywhere, open Account and choose Forget the browsers I trusted under Sign-in security.
  • The numbers change every thirty seconds and depend on your phone knowing the correct time. If every number is refused, set your phone clock to update automatically and try again.
  • The second step is optional. If you skip it, you can add it later from Account; if you have it on, you can turn it off from the same place, which asks for a number from your app first and sends you an email saying it was done.
  • If you lose the phone, write to hello@allirecon.com. We will confirm who you are and turn the second step off so you can set it up again. There is no list of backup codes to keep, on purpose: a code list is one more thing to lose or to have taken. If you never set the app up, resetting your password from the sign in page is all you need.
  • Resetting your password asks for the number too, once you have set the app up. A reset link on its own cannot change your password, which is what makes the second step worth having.
